LIV Development is actively searching for a Senior Operations Coordinator to join our Construction Division to oversee the smooth functioning of our construction department, ensuring efficient workflows and project support. This role manages resources, coordinates tasks, collaborates on assigned projects, and supports project managers and leaders of the construction department in achieving project milestones to drive success. Serving as the “glue, eyes, and ears” of the construction department while team members travel, this role is a key bridge between the office and the construction team. Additionally, this position will collect, process, input, organize and file data from various sources to support the administrative, data & reporting, documentation, compliance, and communication needs of projects. The Senior Operations Coordinator manages the Project Coordinator(s) within the construction department. All activities will be performed in support of the strategy, vision, and values of LIV Development.

Key Responsibilities

  • Co-Lead the Project Close Out process with Project Managers to ensure timely delivery and execution of paperwork and payments, including As-Builts, ALTA, Lien Releases, Close-Out Binders, and more.
  • Execute short- and medium-term length special projects assigned by construction leadership; typically including administrative issues that require special attention, new or revised initiatives that impact the department, or function to allow reassignment of Project Manager tasks
  • Review and approve all Construction Team credit card and expense charges to ensure timely and accurate tracking in accordance with company policies and procedures.
  • Oversee reporting of all construction department information that is to be delivered to the members of the LIV Development executive committee.
  • Manage and report on Pre-Construction and Construction Department standards and performance.
  • Oversee Project Notices to ensure timely resolution of items such as Notice of Non-Payments, Mechanic Liens, etc.
  • Identify communication gaps and develop solutions to streamline interdepartmental information flow.
  • Perform tasks associated with the full project life cycle.
  • Oversee the company project draw process and manage project draws as assigned.
  • Oversee and manage project utility billing for assigned projects.
  • Manage project camera and surveillance contractor, services, and equipment.
  • Coordinate internal and external meetings for construction team members
  • Plan and execute the biannual Construction Summit.
  • Coordinate submission of project documentation per project requirements.
  • Process advanced and/or unique reports as needed, based upon knowledge of more advanced project systems and information.

Skills/Qualifications

  • Bachelor’s Degree preferred, construction or related field
  • 2–3 years of experience in the construction, real estate, or related industries
  • Ability to perform work accurately, completely, and in a timely manner
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office
  • Excellent organizational skills and attention to detail
  • Business acumen and critical thinking ability
  • Ability to learn and utilize various software, tools, and systems to meet business needs
  • Knowledge of construction industry terminology and documents
  • Knowledge of administrative, office, and billing procedures
  • Familiarity with organizational structure and available resources
  • Ability to build relationships and collaborate within a team, both internally and externally.
